Role Overview: The Production Support Coordinator plays a vital role in the daily operations of specific productions, serving as a key point of contact for producers, co-producers, and external collaborators.

Key Responsibilities:

  • Facilitate communication between producers, co-producers, and creative teams to ensure timely information flow.
  • Assist with casting logistics, including securing venues for auditions and verifying actor availability.
  • Prepare, log, and manage contracts, ensuring proper documentation and filing in collaboration with the Production Accountant.
  • Coordinate visa and work permit applications for international productions and foreign personnel.
  • Arrange travel and accommodation for production staff, ensuring cost-effective options are utilized.
  • Oversee the travel and accommodation budget for productions.
  • Generate and distribute schedules and welcome materials for visiting artists.
  • Organize regular production meetings and document minutes as required.
  • Collaborate with the Production Coordinator to manage press night logistics.
  • Support the organization of special events and assist in managing smaller events under supervision.
  • Process purchase orders and monitor departmental expenditures against the budget.
  • Assist in the management of invoices and maintain awareness of the production budget.
  • Contribute to the creation of show programs and respond to inquiries and special requests.
  • Ensure compliance with production insurance policies and health and safety regulations.
  • Promote and implement strategies for equality, diversity, and inclusion within the production environment.
  • Provide general administrative support to the Directors and production teams.
  • Maintain an organized office environment and assist in effective filing systems.
  • Act as a welcoming representative for Playful Productions, ensuring a hospitable atmosphere for all visitors.
  • Stay informed about current productions, new writing, and industry trends.

Qualifications:

  • A minimum of two years' experience in a similar capacity within a professional theatre setting, preferably in commercial theatre.
  • Flexibility in working hours is essential.
  • Proficiency in Microsoft Office Suite, particularly Word, Outlook, and Excel.
  • Ability to provide coverage for team members during absences.
