About the Role
We are seeking a highly skilled and experienced Event Coordinator to join our team at Frasers Group. As an Event Coordinator, you will be responsible for the successful delivery of exhibitions and large-scale conferences at our venue.
Key Responsibilities
- To work within the Event Management Team to achieve successful delivery of exhibitions and large-scale conferences.
- To enhance the standard of events and increase the incremental sales spend of the event.
- To proactively work with organisers to achieve a successful event for both the organisers and the venue.
- To operate and maintain the venue booking system, produce detailed event function sheets, and ensure the highest standards of accuracy within a set time scale for customers, staff, and management information.
- To collect all event feedback from clients post-event to achieve successful rebooking of future events.
- To liaise with clients to create detailed function sheets and event orders for both clients and venue operational teams.
- To provide information to exhibition organisers for client exhibition manuals.
- To liaise with onsite and offsite contractors to arrange additional services for clients and drive incremental revenue.
- To accurately process all documentation and correspondence in a timely manner.
- To attend pre-event client and contractor meetings to obtain final event details for venue operational teams.
- To ensure all event documentation is signed off by both client and contractors and submitted to venue teams within agreed venue timeliness.
- To work with the Health and Safety Manager to ensure that all H&S documentation is completed and submitted within set timelines.
- To liaise regularly with operational departments to ensure clients' expectations and requirements are met.
- To ensure details P&Ls are produced for each event achieving set profit percentages.
- To represent the department in a professional manner to clients, suppliers, and internal colleagues.
- To gather post-event feedback from events and circulate to relevant departments.
- To attend weekly operational function sheet meetings, event planning meetings, and monthly exhibition internal meetings.
- To manage client accounts to increase business growth and rebooking of events.
- To account manage rebooking existing exhibitions.
Requirements
- To demonstrate a professional approach that generates credibility and confidence in others.
- To possess a customer service ethic with a strong client and customer focus.
- To be confident and assertive with a self-motivated approach and flexible attitude.
- To have the ability to work with little supervision and manage time and prioritise accordingly.
- To have the flexibility to work outside normal office hours and cover event days where required, which will include weekends and public holidays.
- To have previous event management experience within an exhibition environment.
