The Role

We are seeking a dedicated administrator to join a dynamic team within the operations department. This position involves providing essential support for daily administrative tasks and coordinating activities across various departments, including managing the calendar and meeting arrangements for the Chief Operating Officer and senior operational leadership team.

Key Responsibilities:

  • Manage diaries and coordinate appointments/meetings for the COO and senior operational leadership team, both internally and externally.
  • Record and distribute meeting minutes, action summaries, and reports for committee and departmental meetings.
  • Organize arrangements for site visitors, including room bookings and catering requests.
  • Provide administrative support for recruitment processes.
  • Plan and coordinate team events and meetings for the operations team.
  • Facilitate team inductions for new hires and visitors.
  • Arrange visas and book travel, both domestically and internationally.
  • Submit and/or approve expense claims for science and operations teams.
  • Maintain the on-site rota, ensuring it reflects staff changes accurately.
  • Support onsite events and meetings by ensuring meeting rooms are prepared and assisting with visitor check-ins.
  • Provide ad-hoc administrative assistance as needed.
  • Be open to taking on additional responsibilities as required.
