About the Role

We are seeking an experienced and organized Administrative Support Specialist to join our Operations team at the Rosalind Franklin Institute. As an integral part of our team, you will provide administrative support to the Chief Operating Officer and senior operational leadership team, ensuring the smooth operation of our day-to-day activities.

Key Responsibilities

  • Manage the diaries of the COO and senior operational leadership team, arranging appointments and meetings both internally and externally.
  • Take and distribute meeting minutes and action summaries, as well as reports for committee and departmental meetings.
  • Coordinate the organization of team events and meetings, including room bookings and catering requests.
  • Provide administrative support for recruitment activities, including submitting and approving expenses claims.
  • Coordinate the induction of new starters and visitors, ensuring a smooth onboarding process.
  • Arrange visas and book travel for team members, both nationally and internationally.
  • Support the organization of on-site events and meetings, ensuring meeting rooms are set up and visitors are booked in with reception.
  • Provide ad-hoc administrative assistance as required.

Requirements

  • Excellent organizational and communication skills, with the ability to build strong relationships with colleagues at all levels.
  • Strong technology skills, including proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Ability to manage multiple tasks and commitments, with a focus on delivering high-quality results.
  • Confidentiality and discretion when handling sensitive information.
  • Flexibility and adaptability, with a willingness to learn and take on new challenges.
