We are seeking a dedicated administrator to join our small team within the operations department. This role involves providing essential support for daily administrative tasks and coordinating activities across various departments, including managing the calendar and meeting arrangements for the Chief Operating Officer and senior operational leadership team.

Key Responsibilities:

  • Manage the calendar and coordinate appointments/meetings for the COO and senior operational leadership team, both internally and externally.
  • Document and distribute meeting minutes, action items, and reports for committee and departmental meetings.
  • Organize arrangements for site visitors, including room bookings and catering requests.
  • Provide administrative assistance for recruitment processes.
  • Coordinate team events and meetings for the operations team.
  • Facilitate team inductions for new hires and visitors.
  • Arrange travel and visa requirements for both domestic and international trips.
  • Process and/or approve expense claims for science and operations teams.
  • Maintain an up-to-date on-site rota reflecting staff changes.
  • Support onsite events and meetings by ensuring meeting rooms are prepared and managing visitor check-ins.
  • Provide ad-hoc administrative support as needed.
  • Be open to taking on additional responsibilities as required.
