Administrative Support Coordinator

Job Overview
We are seeking a dedicated individual to join our Administration Team, providing essential medical secretarial assistance to facilitate the effective functioning of our Community Mental Health team. This role involves engaging with a variety of internal and external stakeholders while ensuring an exceptional customer service experience for all patients.
Key Responsibilities
- Manage incoming referrals, ensuring they are directed to the appropriate clinician for assessment and maintaining an up-to-date database of all new accepted referrals.
- Input referrals into the primary electronic database, ensuring accuracy of all demographic information and uploading relevant documents.
- Communicate with Service Users to schedule assessments, monitor waiting times, and send follow-up appointments as necessary.
- Provide secretarial support to members of the Community Mental Health Teams, including social workers and nursing staff, while upholding patient confidentiality at all times.
- Prepare and type assessment summaries, reports, and correspondence, ensuring the confidentiality of patient records is maintained.
- Assist the Admin Team Leader in ensuring adequate coverage for team duties.
- Perform additional tasks as required, which may include supporting reception duties.
- Attend meetings, take minutes, and distribute them promptly.

Qualifications
Essential
- Strong written and verbal communication skills to GCSE level. Proficient in Microsoft Word, Excel, Teams, SharePoint, and Outlook. Experience in typing and minute-taking. Previous experience in a secretarial or administrative role.
Desirable
- Qualifications in minute-taking and administration. Familiarity with medical terminology.
Experience
Essential
- Proven experience in establishing efficient office systems and processes. Experience in public interaction with excellent telephone etiquette. Proficient in various software applications. Understanding and commitment to the Trust's Equal Opportunities Policy. Skilled in appointment organization and diary management.
Desirable
- Experience in audio typing. Familiarity with the RIO system.
