Job Summary:

Gleeson Recruitment Group is seeking an experienced Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will be responsible for providing administrative support to our business, ensuring the smooth and efficient operation of our office.

Main Responsibilities:

  • Building a Collaborative Environment: You will be the main point of contact for all incoming queries, providing exceptional customer service and ensuring a positive experience for our clients and visitors.
  • Effective Diary and Travel Management: You will be responsible for managing conflicting diaries across the business, ensuring that all meetings and appointments are scheduled efficiently.
  • Inbox Management: You will be responsible for managing our inbox, escalating urgent emails to be actioned within tight deadlines.
  • Proof-reading and Document Management: You will be responsible for proof-reading documentation and maintaining accurate and up-to-date records.
  • Expense Management: You will be responsible for managing expenses, ensuring that all expenses are accurately recorded and reimbursed in a timely manner.
  • Purchase Order and Supplier Management: You will be responsible for raising purchase orders, setting up new vendors and supplier payments, and raising sales orders and invoices using our accounting system.
  • Health and Safety Compliance: You will be responsible for ensuring that our office adheres to health and safety compliance standards and GDPR processes.
  • Organizational Events: You will be responsible for organizing social events, volunteer days, and staff training days.

Requirements:

  • Previous Experience: You will need previous experience in an administrative support role, preferably working at a senior level in a business services or financial services environment.
  • Technical Skills: You will need to be proficient in Microsoft Office and have excellent communication and interpersonal skills.
  • Initiative and Decision-making: You will need to be able to work on your own initiative and have good decision-making skills.
