Position Overview

The role of the Healthcare Reception Coordinator is essential in facilitating the smooth operation of the practice by guiding patients to the appropriate healthcare professionals or services. This position is integral to the multidisciplinary team within the practice.

Key Responsibilities

The primary responsibilities of the Healthcare Reception Coordinator include:

  • Welcoming patients upon arrival and ensuring they are accurately checked in.
  • Managing incoming calls and addressing inquiries effectively.
  • Scheduling appointments, including follow-ups and urgent requests.
  • Handling communications from patients, clinicians, and external organizations, taking necessary actions as required.
  • Documenting requests for home visits and ensuring they are communicated to the on-call physician.
  • Maintaining confidentiality while managing patient files.
  • Organizing medical records and ensuring they are filed appropriately.
  • Scanning and updating patient correspondence, including hospital reports and letters.
  • Conducting patient and GP Registrar surveys as needed.
  • Overseeing the call and recall processes for patient lists as directed by management.
  • Assisting with Quality and Outcomes Framework (QoF) and Enhanced Services reporting, including data searches and coding.

Core Duties

The following are the essential duties of the Healthcare Reception Coordinator:

  • Effectively directing patients to the appropriate healthcare professional based on their needs.
  • Answering phone calls and managing requests with professionalism.
  • Processing appointment requests efficiently.
  • Delivering exceptional customer service at the reception desk.
  • Managing repeat prescription requests accurately.
  • Initiating and responding to communications from patients and team members.
  • Entering data into the EMIS Web system as required.
  • Photocopying and managing documentation as necessary.
  • Updating patient records with new registrations and relevant information.
  • Directing requests for information to the appropriate administrative personnel.
  • Handling queries efficiently and maintaining a tidy reception area.
  • Supporting clinical staff with various tasks as needed.

Additional Responsibilities

In addition to the primary responsibilities, the Healthcare Reception Coordinator may also:

  • Participate in practice audits as directed.
  • Provide support to administrative staff during absences.
  • Scan and attach patient-related documents to healthcare records.
  • Follow opening and closing procedures as per the duty roster.
  • Assist prescription clerks in managing repeat prescriptions.
  • Order and monitor office supplies as needed.

Qualifications and Skills

  • Minimum of GCSE level education or equivalent.

  • Qualifications in active signposting or Care Navigation.
  • Healthcare qualifications (level 2) or equivalent.
  • Customer service qualifications (NVQ) or equivalent.
