Position Overview

We are looking for a dedicated Fleet Operations Manager to lead our administrative team at our head office.

Role Purpose

Reporting to the Head of Fleet and Engineering, the Fleet Operations Manager will play a crucial role in fostering a collaborative culture while managing various administrative functions, including insurance claims and asset management. This position will also identify and implement improvements across the department.

Key ResponsibilitiesTeam Leadership:
  • Act as the primary representative of the fleet department.
  • Guide and mentor a diverse team of fleet administrators.
  • Oversee administrative tasks ensuring timely completion and proper allocation of duties.
  • Set performance objectives and conduct regular evaluations.
  • Encourage a culture of innovation and proactive problem-solving within the team.
Insurance Claims Oversight:
  • Manage the processing and resolution of fleet-related insurance claims.
  • Work closely with the Insurance Manager and insurers for prompt settlements.
  • Coordinate with other departments to ensure comprehensive recovery of losses.
  • Serve as the primary contact for all fleet insurance activities.
  • Promote effective communication regarding insurance matters.
Fleet Operations Management:
  • Administer various management systems and government portals.
  • Monitor fleet activities and implement corrective actions as necessary.
  • Ensure compliance with safety and regulatory standards.
  • Maintain the operational fleet list in alignment with financial records.
  • Contribute to key fleet documentation and reporting.
Data Analysis:
  • Collect and evaluate fleet performance metrics.
  • Generate reports to highlight trends and areas for enhancement.
  • Provide monthly updates on KPIs and support corrective actions.
Budget Oversight:
  • Assist in establishing budget parameters for supplier expenditures.
  • Manage supplier spending and liaise with finance teams.
  • Review monthly expenditures to control costs effectively.
  • Identify opportunities for cost savings within the department.
Collaboration with Stakeholders:
  • Facilitate collaboration between Fleet and other essential departments.
  • Communicate effectively with both internal and external partners.
Required Skills and Experience
  • Proven leadership and team management capabilities.
  • Strong background in logistics and transportation.
  • Proficient in Microsoft Office Suite.
  • Excellent analytical and problem-solving skills.
  • Strong verbal and written communication abilities.
Additional Qualifications
  • Ability to manage multiple deadlines and collaborate with management.
  • Experience in prioritizing tasks and maintaining professionalism under pressure.
  • Effective communication with suppliers and stakeholders.
  • Familiarity with fleet management software is a plus.
  • Some experience in fleet or engineering is desirable.
  • Self-motivated and capable of producing reports for senior management.
