Position PurposeWe are looking for an experienced Fleet Operations Manager to report directly to the Head of Fleet and Engineering. This role will involve overseeing and managing our team of administrators at our head office. The successful candidate will cultivate a collaborative culture, taking charge of administrative functions, including insurance claims and asset management, while actively seeking opportunities for departmental enhancements.
Key ResponsibilitiesTeam Leadership:- Act as the representative of the fleet department.
- Lead and mentor a diverse team of fleet administrators across various shifts.
- Supervise all administrative tasks, ensuring timely completion and proper duty allocation.
- Establish objectives, provide constructive feedback, and conduct regular performance evaluations.
- Encourage a culture of innovation and a proactive mindset within the administration team.
- Manage the processing and resolution of fleet-related insurance claims.
- Work closely with the Insurance Manager and insurers to secure prompt settlements and maximize recovery.
- Coordinate with other departments to ensure comprehensive documentation of losses.
- Serve as the primary contact for all fleet-related insurance inquiries, ensuring accurate information is provided for claims.
- Promote effective communication regarding insurance matters.
- Administer various systems, including in-house management databases and government portals.
- Monitor fleet activities, ensuring compliance and implementing corrective actions as necessary.
- Maintain adherence to safety and regulatory standards.
- Oversee the operational fleet list, ensuring alignment with the financial asset master list.
- Contribute to and draft key fleet documentation, including project papers and monthly reports.
- Gather and analyze fleet performance metrics.
- Generate reports to identify trends and areas for improvement.
- Prepare monthly updates and KPIs to support corrective actions.
- Assist in establishing budget parameters for key supplier expenditures.
- Manage supplier spending and liaise with finance teams.
- Review monthly expenditures to ensure cost control and minimize purchase orders.
- Identify potential cost-saving measures within the department and broader business.
- Facilitate collaboration between Fleet and other essential departments.
- Communicate effectively with both internal and external partners.
- Proven leadership and team management capabilities.
- Strong background in logistics and transportation.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Exceptional analytical and problem-solving skills.
- Strong verbal, written, and interpersonal communication abilities.
- Able to manage deadlines and coordinate with operational and senior management.
- Experienced in prioritizing tasks and maintaining professionalism under pressure.
- Effective communicator with suppliers and key stakeholders.

- Familiarity with fleet management software is advantageous.
- Previous experience in fleet or engineering is a plus.
