Recruit Central is seeking a Fleet Operations Coordinator to enhance our client's team. In this pivotal role, you will oversee the downtime of all company assets, both powered and non-powered, while ensuring accurate reporting of Vehicle Off the Road (VOR) and Vehicles Not Available (VNA) on a daily basis. Your responsibilities will include liaising with third-party support partners regarding fleet availability and managing administrative tasks related to motor insurance claims.

Building and maintaining strong relationships with manufacturers, repairers, and service providers is essential. You will serve as the primary contact for drivers, addressing defects and coordinating with repair agents.



Key Responsibilities:
  • Responding to driver calls and determining appropriate actions for defective assets.
  • Updating and managing defects within the Fleet Management System.
  • Monitoring VOR and total VNA metrics.
  • Providing tyre information for call-outs and necessary rectifications.
  • Communicating fleet availability to various departments and stakeholders.
  • Collaborating closely with the Fleet Team to minimize costs, reduce fleet downtime, and prevent accidents.

Engagement with Third-Party Support Partners:
  • Following up on fleet availability and costs for insurance repairs.
  • Facilitating communication for compliance documentation as needed.
  • Managing invoice follow-ups, processing purchase orders, and ensuring timely distribution.
  • Overseeing Grey Fleet administration and generating monthly reports.
  • Initiating communication for all motor insurance claims.
  • Working with internal teams and external suppliers to compile costs for insurance claims.
  • Updating insurance KPIs, generating monthly reports, and supporting any necessary corrective actions.
  • Promoting effective communication regarding insurance matters.

Logistics and Operational Experience:

Proficiency in Office 365, particularly Excel (including pivot tables, formulas, and conditional formatting), is required. The ability to adapt your communication style to engage effectively with both internal colleagues and external stakeholders is crucial.

Experience in a dynamic, high-pressure office environment is essential. You must demonstrate flexibility and the capacity to multitask efficiently while managing a significant workload across fleet and operations, often under tight deadlines.

This full-time position operates on a 4 on-4 off shift rotation, requiring coverage for other fleet coordinator roles as necessary. Flexibility is a key component of this position.



Compensation:
Competitive salary up to £30,000, with an additional £1,000 bonus based on performance.
