Fleet Operations Manager

We are seeking an experienced Fleet Operations Manager to lead and manage a team ensuring the smooth operation of fleet activities.

Key Responsibilities:
  • Lead and represent the fleet department, ensuring effective communication and collaboration with other teams.
  • Supervise and guide a team of fleet administrators, providing guidance and support to ensure successful task completion.
  • Ensure all administrative tasks are completed within set deadlines, maintaining a high level of productivity and efficiency.
  • Set goals, provide constructive feedback, and hold regular performance evaluations to drive team performance and growth.
  • Encourage a proactive and innovative approach within the admin team, fostering a culture of continuous improvement.
  • Oversee and manage fleet-related insurance claims from initiation to resolution, ensuring prompt and accurate claim handling.
  • Work closely with the Insurance Manager and insurers to secure prompt claim settlements, maximising recovery for both at-fault and non-fault cases.
  • Serve as the main contact for all fleet-related insurance matters, ensuring accurate and timely claim handling.
  • Manage fleet-related systems, including internal databases and government platforms, ensuring data accuracy and compliance.
  • Oversee fleet activities, implementing improvements where necessary to enhance performance and efficiency.
  • Ensure full compliance with safety standards and regulations, maintaining a safe and healthy work environment.
  • Manage the operational fleet list, aligning it with the financial asset register, ensuring accurate and up-to-date records.
  • Draft and contribute to fleet-related business documents, such as project reports, vehicle specifications, asset disposal papers, and monthly updates.
  • Collect and analyse fleet performance metrics, producing reports to track trends and identify areas for improvement.
  • Generate monthly reports and update key performance indicators (KPIs), supporting corrective measures as needed.
  • Assist in setting budget targets for major suppliers and monitor expenditure, ensuring cost control and optimisation.
  • Manage relationships with key suppliers, collaborating with finance teams to maintain cost controls and negotiate favourable terms.
  • Review monthly spending to optimise cost management and reduce unnecessary purchase orders.
  • Identify and pursue opportunities to save costs within the fleet department and the broader business.
  • Promote collaboration between the Fleet team and other departments, such as Finance, Operations, Transport, and Compliance, to drive business success.
  • Maintain strong communication with both internal and external stakeholders, aligning with business goals and objectives.
Requirements:
  • Proven leadership and team management abilities, with a track record of success in a similar role.
  • Solid experience in logistics or transport operations, with a deep understanding of fleet management principles.
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint), with the ability to analyse data and create reports.
  • Strong analytical skills and a problem-solving mindset, with the ability to think critically and make informed decisions.
  • Excellent verbal and written communication, along with strong interpersonal skills, to effectively collaborate with colleagues and stakeholders.
  • Ability to manage deadlines and work closely with operational and senior management teams, prioritising tasks and maintaining a high level of productivity.
  • Experience prioritising daily tasks and maintaining professionalism under pressure, with a strong focus on delivering results.
  • Capable of communicating effectively with suppliers and stakeholders in a constructive and professional manner, building strong relationships and negotiating favourable terms.
  • Ability to collaborate with colleagues to balance workloads and meet business demands, with a strong focus on teamwork and collaboration.
  • Knowledge of fleet management software is a plus, with experience in managing fleet-related systems and data.
  • Fleet or engineering experience is beneficial, with a deep understanding of fleet management principles and practices.
  • Must be able to work independently as well as part of a team, producing KPIs and reports for senior management.
