Position Overview

The Administrative Receptionist plays a crucial role in facilitating patient access to healthcare services at Broadstairs Medical Practice. This position requires a courteous and efficient approach to assist patients in navigating their healthcare needs.

Key Responsibilities:

Administrative Duties:

  • Maintain comprehensive knowledge of all operational procedures.
  • Adhere to established protocols and guidelines.
  • Organize and update patient records as necessary.
  • Manage incoming correspondence and ensure proper filing in medical records.
  • Perform photocopying tasks as requested.

Reception Responsibilities:

  • Welcome patients and facilitate consultations with the healthcare team.
  • Distribute completed prescriptions to patients while verifying their details.
  • Be prepared to cover various reception roles as needed.

Appointment Management:

  • Handle appointment requests from patients both over the phone and in person.
  • Address requests for home visits.

Computer Operations:

  • Register new patients and maintain accurate data entry in medical records.
  • Process changes of address and update patient information accordingly.
  • Manage repeat prescription requests in line with practice protocols.

Telephone Management:

  • Utilize the telephone and paging system effectively during operational hours.

Additional Responsibilities:

  • Ensure cleanliness and readiness of rooms post-surgeries.
  • Maintain security protocols for the facility.
  • Complete any other tasks assigned by management.

Professional Development:

  • Engage in training sessions to enhance administrative and technical skills.
  • Participate in regular performance reviews and team meetings.

Patient Interaction:

  • Collaborate with patients to support their health objectives.
  • Deliver a friendly and efficient service to all patients.

Respect and Dignity:

  • Uphold dignity and respect for patients, colleagues, and visitors at all times.
  • Follow safeguarding protocols to protect vulnerable populations.

Feedback Management:

  • Actively listen to feedback from patients and colleagues, ensuring any issues are reported to management promptly.

Compliance:

  • Adhere to guidelines set forth by regulatory bodies to ensure safe and effective patient care.
  • Contribute suggestions for improving practice processes.

Qualifications:

Essential:

  • GCSE Grade C or equivalent in English and Mathematics.
  • Strong general education background.
  • Experience in customer service roles.
  • Excellent verbal and written communication skills.
  • Proficient IT skills.
  • Polite and clear telephone communication.
  • Effective time management and ability to meet deadlines.
  • Strong problem-solving and interpersonal skills.

Desirable:

  • Prior experience in a reception role.
  • Familiarity with general practice operations.
  • Knowledge of specific IT systems used in healthcare.
