About the Role

We are seeking a highly organized and customer-focused Senior Receptionist to join our team at Norfolk Community Health and Care NHS Trust. As a key member of our reception team, you will be responsible for providing exceptional administrative support and ensuring the smooth operation of our reception area.

Key Responsibilities
  • Provide administrative support to the reception team, including answering telephone calls, greeting patients, and responding to queries.
  • Manage the reception area, including maintaining a high level of organization and ensuring that all necessary documents and equipment are readily available.
  • Coordinate meetings and appointments, including making room bookings and sending reminders to staff and patients.
  • Process incoming and outgoing mail, including scanning documents and sending emails.
  • Maintain accurate records and databases, including SystmOne and other relevant systems.
  • Provide excellent customer service to patients and staff, responding to queries and resolving issues in a timely and professional manner.
  • Work collaboratively with the reception team to achieve shared goals and objectives.
  • Contribute to the development and implementation of policies and procedures to improve the efficiency and effectiveness of the reception area.
Requirements
  • Proven experience in an administrative role, preferably in a healthcare setting.
  • Excellent communication and interpersonal skills, with the ability to work effectively with patients, staff, and external agencies.
  • High level of organization and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Knowledge of SystmOne and other relevant healthcare systems.
