Performance Process Coordinator

The Compliance (Planned Preventative Maintenance) Team at Bellrock is dedicated to the efficient management of PPM for our valued clientele. We prioritize understanding the unique requirements of each client's estate and their specific PPM needs. Our mission encompasses ensuring that PPM visits are executed on schedule, maintaining compliance with statutory regulations as per client directives, and proactively addressing any identified risks.

We take pride in delivering precise and timely information and data to our clients through thorough status reporting. Additionally, we adopt a proactive stance in managing and enhancing the performance of our supply chain partners.

In line with our commitment to transparency and reliability, we provide annual PPM schedules to our clients' supply chain, adhering to stringent Bellrock protocols. We meticulously maintain comprehensive audit files for all modifications to PPM schedules and uphold a detailed audit trail.

Moreover, our team rigorously audits certifications to ensure standards of accuracy and quality, guaranteeing that our clients receive outstanding service and compliance at every juncture.

As a Performance Process Coordinator at Bellrock, you will:

  • Client Engagement: Ensure all data and process modifications are accurately recorded by collaborating closely with clients and account managers.
  • PPM Schedule Oversight: Maintain precise and comprehensive PPM schedules within the Concerto system utilizing Change Control processes.
  • Compliance and KPI Achievement: Meet Bellrock and client KPIs/SLAs for compliance, visit completion, and financial metrics.
  • Purchase Order and Supplier Management: Generate POs, ensure suppliers receive accurate information, and update systems with weekly house lists.
  • Certification Review: Audit certificates, address any failed certifications, and prepare quotes for necessary remedial actions.
  • Urgent Client Support: Promptly respond to urgent client needs, participate in review meetings, and manage reporting.
  • Contractor Oversight: Actively manage contractors to resolve non-compliance issues and uphold standards.
  • Issue Reporting: Escalate significant backlogs and non-compliance concerns.
  • Certification and Remedial Oversight: Ensure certifications comply with legal standards and supervise the completion of remedial actions.
  • Continuous Improvement: Embrace continuous improvement principles and best practices.
  • Health and Safety Compliance: Adhere to all relevant statutory obligations under the Health and Safety at Work Act.
  • Hybrid Work Model: Operate as a hybrid agent, balancing home, office, and on-site responsibilities as needed.

What qualifications are necessary?

Essential Skills:

  • Proficiency in Excel and other Microsoft Office applications
  • Strong IT capabilities
  • Experience in direct supplier management
  • Business-to-Business (B2B) experience
  • Administrative experience in Planned Maintenance
  • Ability to work independently and effectively in both remote and office environments

Desirable Skills:

  • Experience in reactive maintenance
  • Awareness of contracts
  • Understanding of statutory compliance and/or Health and Safety legislation
  • Familiarity with Bellrock systems and processes
  • Technical knowledge
  • Understanding of procurement and supply chain processes
  • Knowledge of SFG20 standards

Working Arrangements

We embrace flexible working practices that allow our employees to work their hours flexibly and remotely where their roles and business needs permit. In this position, the successful candidate would be required to work in a hybrid model between home and the Bellrock Group office.
