Performance Process Coordinator

The Compliance (Planned Preventative Maintenance) Team at Bellrock is dedicated to proficiently managing PPM for our distinguished clientele. We focus on understanding the unique requirements of each client's estate regarding PPM. Our mission encompasses ensuring that PPM visits are conducted on schedule, maintaining compliance with statutory regulations as per client directives, and proactively addressing any identified risks.

We take pride in delivering precise and timely information to our clients through thorough status reporting. Additionally, we adopt a proactive stance in managing and enhancing the performance of our supply chain partners.

In line with our commitment to transparency and reliability, we provide annual PPM schedules to our clients' supply chain, adhering to stringent Bellrock protocols. We meticulously maintain comprehensive audit files for all modifications to PPM schedules and ensure a detailed audit trail for these schedules.

Moreover, our team rigorously audits certifications to uphold standards of accuracy and quality, guaranteeing that our clients receive outstanding service and compliance at every juncture.

As a Performance Process Coordinator at Bellrock, your responsibilities will include:

  • Client Engagement: Collaborate closely with clients and account managers to ensure all data and process modifications are accurately recorded.
  • PPM Schedule Oversight: Ensure the accuracy and completeness of PPM schedules on the Concerto system by utilizing Change Control processes.
  • Compliance and KPI Achievement: Meet Bellrock and client KPIs/SLAs related to compliance, visit completion, and financial metrics.
  • Supplier Coordination: Generate purchase orders, provide suppliers with accurate information, and update systems with weekly house lists.
  • Certification Review: Conduct audits of certificates, address any failed certifications, and prepare quotes for necessary remedial actions.
  • Timely Client Response: Swiftly address urgent client needs, participate in review meetings, and manage reporting effectively.
  • Contractor Oversight: Actively manage contractors to resolve compliance issues and uphold standards.
  • Issue Management: Escalate significant backlogs and compliance challenges as necessary.
  • Certification and Remedial Oversight: Ensure certifications comply with legal standards and oversee the execution of remedial works.
  • Continuous Improvement: Embrace continuous improvement principles and best practices.
  • Health and Safety Compliance: Adhere to all relevant statutory obligations under the Health and Safety at Work Act.
  • Flexible Working: Operate in a hybrid capacity, combining remote, office, and on-site work as needed.

What qualifications are essential?

Required Skills:

  • Proficiency in Excel and other Microsoft Office applications
  • Strong IT capabilities
  • Experience in direct supplier management
  • Business-to-Business (B2B) experience
  • Administrative background in Planned Maintenance
  • Ability to work independently and effectively in both remote and office environments

Preferred Skills:

  • Experience in reactive maintenance
  • Understanding of contract terms
  • Knowledge of statutory compliance and/or Health and Safety legislation
  • Familiarity with Bellrock systems and processes
  • Technical knowledge
  • Awareness of procurement and supply chain practices
  • Understanding of SFG20 standards

Working Arrangements

We promote flexible working practices that allow our employees to manage their hours and work remotely when their roles and business needs permit. The successful candidate will be expected to work in a hybrid model, balancing home and office responsibilities. Standard working hours are Monday to Friday, with shift times between 8 am and 6 pm, including a one-hour lunch break.
