Position Overview

The Rota Administrator role is situated within the Maternity, Gynaecology, and Breast division, collaborating with a dedicated team of Rota Administrators. This position is crucial for the effective organization and oversight of medical staff schedules, ensuring that high-quality patient care is delivered through the optimal allocation of Consultants and Junior Doctors. The administrator will be tasked with filling any scheduling gaps by utilizing both internal and external medical professionals, proactively identifying potential issues and addressing them systematically.

Key Responsibilities

The Rota Administrator will:

  • Manage the administration and communication of schedules for Consultants and assist in populating schedules for Junior Doctors across designated specialties, serving as the primary contact for Junior Doctors within the division.
  • Provide daily scheduling support for both Consultants and Junior Doctors in the Maternity, Gynaecology, and Breast Division.
  • Communicate effectively and diplomatically with all medical personnel to ensure adequate coverage for all operational aspects of the division. This includes coordinating annual and study leave for Consultants and Junior Doctors in accordance with organizational policies, ensuring that service needs are met, and arranging cover for unexpected absences.
  • Address sensitive matters such as sickness absence and compassionate leave in a timely manner, collaborating closely with Clinical Leads and Supervisors.
  • Implement all departmental schedules in compliance with the Working Time Directive and the New Junior Doctors Contract as established by Divisional Directors and the Medical Workforce.

Qualifications and Experience

Essential:

  • Good general education, ideally with English Language at GCSE level (or equivalent).
  • NVQ Level 3 or equivalent, along with relevant practical experience.

Experience:

  • Experience in managing or organizing a team.

Desirable:

  • Experience with scheduling systems.
  • Experience working within the NHS.
