Job summary

The post holder is responsible for the overall management of rotas within the Medicine division, ensuring clinical safety is maintained at all times. This includes overseeing all aspects of rota development and management, ensuring that key requirements outlined by the 2016 Junior Doctor Contract and the European Working Time Directive are followed.

Under the direction of the divisional leadership team and clinical leads, the post holder must ensure the efficient deployment of medical staff to provide high-quality patient care across all Medicine Specialities including out-of-hours cover.

The post holder will also manage staff shortages and sickness, resolving situations professionally and expeditiously and escalating issues promptly.

Main duties of the job

Be responsible for coordinating consultants and junior doctors across all specialities within Medicine at Peterborough City and Stamford Hospitals & Acute Medicine at Hinchingbrooke Hospital. Be instrumental in planning and constructing rotas for Medicine. Have complete oversight of all medical rotas. Restructure rotas where necessary. Negotiate with doctors regarding rota changes required. Ensure cover is provided for short notice leave and sickness. Provide daily updates. Extensive use of the allocate optima software. Act as the first point of contact for doctors. Produce and distribute the required staffing plans for weekends and holidays to all Divisional managers. Communicate rota vacancies for all areas daily, including FSS. Provide monthly reports to Finance outlining agency/bank hours booked. Identify posts and rotations, ensuring they are advertised and managed efficiently Administrate the arrival of new doctors alongside Medical Education and HR. Coordinate with college tutor and clinical leads to prepare each intake of new junior doctors. Produce daily medical Outlier numbers and ensure Consultant/junior cover is updated accordingly. Process rota changes. Process weekly and monthly timesheets. Provide cross-cover within the team.

Person Specification

Education and Qualifications

Essential

GCSE English and Maths at Grades 4-6 or equivalent.

Desirable

Management/Leadership qualification or educated to a degree level

Experience

Essential

Significant administration experience including phone use Experience dealing with senior members of staff Experience in rota management and development

Knowledge

Essential

Proven knowledge and understanding of rota design Awareness of patient confidentiality and the Data Protection Act.

Desirable

Knowledge of the requirements of Junior doctor employment.

Key Skills

Essential

Good knowledge of IT and Microsoft Office, especially Excel. Ability to influence others and achieve change. Ability to prioritise and meet deadlines Demonstrate exceptional verbal and written communication skills. Remain calm under pressure.
