Job Summary

The post holder will be responsible for managing and coordinating the day-to-day operations within their profession. This will involve working closely with other stakeholders, providing support with operational matters, and communicating with internal and external contractors, GP practices, and senior management.

Main Responsibilities

  • Assist with the evaluation of patient footfall each quarter, linking in with the facilities lead to formulate quarterly reports.
  • Assist with site room bookings, linking in with the facilities lead around Service Line reporting.
  • Ensure site information is updated, including door codes and access times.
  • Assist and communicate with other designates to ensure sites are up to date with relevant audits, such as Health and Safety and fire and risk assessments.
  • Assist and lead with user group meetings with all services on site.
  • Assist and lead as required with PFI contractual monitoring.
  • Arrive and depart patients using the clinical system, and follow up appointments as necessary, addressing any issues as they arise.
  • Carry out general reception duties as necessary, and support staff in the day-to-day management of the nurse messaging system, ensuring that messages are relayed to the clinical team as required.

About the Role

This is a varied and interesting role, requiring a flexible approach and the ability to respond positively to changes in allocation of work at short notice. The post holder will be expected to demonstrate accuracy in all areas of work, and to have good written and oral communication skills, both internally and externally.

Person Specification

Essential

  • NVQ Level 3 in Facilities related services or equivalent qualification or equivalent knowledge gained through experience.
  • Demonstrate a commitment to further training and development commensurate with the grade.
  • Demonstrate accuracy in all areas of work.
  • Flexible approach - demonstrating ability to respond positively to changes in allocation of work at short notice to set deadlines.
  • Good written and oral communication skills with internal and external partners, as well as members of the public.
  • Knowledge of Health or Social Care.

  • Experience at attending meetings and minute taking.
