Position Overview
An exceptional opportunity has emerged for a dedicated and proactive Administrative Coordinator to become a vital part of the Hamar Centre team at The Shrewsbury and Telford Hospital NHS Trust. This role involves a commitment of hours per week, operating Monday to Friday, with some flexibility in scheduling.
The successful candidate will be responsible for ensuring that all individuals referred for counselling services receive timely appointments with the counselling team. You will provide comprehensive administrative assistance to the Hamar Centre counselling staff, including the organization of counselling appointments and welcoming clients and visitors to the centre.
This position requires a high degree of independence, as you will be expected to utilize your initiative to perform the responsibilities of the role while maintaining effective communication with other members of the Hamar Centre Team. Collaboration with various internal and external stakeholders, including patients, healthcare professionals, and support organizations, is essential.
Given the nature of the role, which involves significant patient interaction (both via phone and in person), excellent verbal communication skills are imperative.
The ideal candidate will possess a strong motivation and the ability to thrive under pressure. Proficiency in computer applications and experience with relevant software programs are also required.
Key Responsibilities
- Provide comprehensive administrative and secretarial support to the Hamar Centre personnel.
- Manage room bookings, including scheduling, preparation, and maintenance of facilities and equipment.
- Oversee inventory management and procurement of supplies for the Centre.
- Ensure the upkeep and maintenance of the Centre's premises.
- Act as the designated First Aid Officer and Fire Safety Warden for the Hamar Centre.
- Collect and maintain statistical data from appointment records and telephone interactions.
- Handle reception duties, including greeting visitors and managing incoming calls.
- Facilitate a comprehensive booking and scheduling service for patients referred to the Hamar Centre, coordinating appointment dates and promptly sending confirmation letters.
- Communicate with empathy and confidentiality when interacting with patients facing serious health challenges.
- Utilize the Trust's Patient Administration System (PAS) and SEMA, contributing to record-keeping and data collection for audit and research purposes.
- Maintain focus in a dynamic and potentially distracting environment.

Qualifications and Experience
Essential
- GCSE in English (A-C or equivalent qualification or experience).
- NVQ Level 2/3 or equivalent knowledge and experience.
- Administrative experience.
- Proficient in Microsoft Office, Excel, and Outlook.
- Experience in patient/client interactions.
Desirable
- ECDL certification.
- RSA III qualification.
- Previous experience within the NHS.
- Familiarity with Trust software such as Oracle and Semahelix.
