Role Overview:

The HR Support Officer will provide essential administrative assistance to the Senior HR team, ensuring that all HR-related administrative functions are maintained efficiently on a daily basis. This role will also involve contributing to various projects and initiatives as needed.

Key Responsibilities:

  • Address inquiries from employees and line managers regarding employment contracts and policy matters.
  • Facilitate the recruitment and selection process, including posting job advertisements, scheduling interviews, and accommodating applicants with special requirements.
  • Manage routine correspondence with applicants, including the preparation and distribution of job-related information and communicating outcomes to candidates.
  • Conduct preliminary screening interviews and participate in selection panels as necessary.
  • Oversee pre-employment checks, including reference requests, background checks, health questionnaires, verification of right to work, and validation of qualifications.
  • Assist in onboarding new employees, including participation in induction programs and arranging necessary training.
  • Prepare appointment letters, employment contracts, and amendments to contracts.
  • Collaborate with Payroll and Learning and Development teams to ensure seamless onboarding and offboarding processes.
  • Track and report on employee absences, providing necessary statistics and documentation.
  • Prepare documentation for attendance management meetings and follow-up correspondence.
  • Support disciplinary, grievance, and investigation meetings.
  • Maintain and update both computerized and manual HR and payroll information systems, ensuring accurate records of employment and payroll data.
  • Engage in ad hoc project work, assisting the HR Officer and Senior HR Officer as required.
  • Uphold health and safety standards in the workplace, ensuring a safe environment for all.
  • Perform any other reasonable tasks as assigned by the HR Manager or other senior staff members.

Qualifications and Experience Required:

  • Preferably qualified to HNC Level in a relevant field, such as human resources or business administration.
  • Prior experience in an HR environment is desirable.
  • Excellent organizational skills with the ability to prioritize tasks in a dynamic, fast-paced setting.
  • Proficient in Microsoft Office applications.
  • Strong communication and interpersonal abilities.
  • Demonstrated initiative and meticulous attention to detail.
  • Resilient with a positive outlook towards change and uncertainty.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
