Position Overview

The University of Bristol is in search of a dedicated Executive Assistant to provide comprehensive support within our dynamic academic environment.

This role involves collaborating with a compact executive team to facilitate the smooth operation of school functions. Responsibilities may include engaging with student representatives, assisting in the onboarding of new personnel, and coordinating activities for honorary staff.

The Executive Assistant will play a crucial role in supporting senior academic leaders through effective diary management, event coordination, and maintaining confidentiality with the utmost professionalism.

Proactive problem-solving and adaptability are essential, as you will need to manage shifting priorities and workloads efficiently. You will have the autonomy to structure your daily tasks to achieve set objectives.

A solid understanding of various IT systems is required, along with experience in academic processes to effectively assist both the school and our executive colleagues.

Key Responsibilities
  • Managing complex schedules and providing administrative support to senior academic staff.
  • Updating and creating digital content for the school’s web presence.
  • Collaborating with the EDI lead on digital communication strategies.
  • Assisting with various school initiatives, including recruitment and staff induction.
  • Drafting internal communications, such as weekly bulletins.
  • Facilitating committee meetings and associated logistics.
  • Coordinating activities for honorary and associate staff.
  • Planning events and supporting recruitment processes, both virtually and in-person.
Candidate Profile
  • Exceptional organizational, customer service, and communication skills, both written and verbal.
  • Proficient in digital communication and web content management.
  • Ability to execute tasks with a high degree of accuracy.
  • Flexible team player with the capability to work independently and demonstrate initiative.
  • Experience in a fast-paced environment, adept at multitasking and responding to changing demands while proactively enhancing processes.
  • Familiarity with a variety of IT systems and a quick learner of new technologies.
