Senior Administrative Coordinator – Temporary Position

Position Summary

The Senior Administrative Coordinator will provide support to two Vice Presidents.

Meeting and Event Coordination

  • Facilitates and participates in meetings as required
  • Creates agendas and prepares necessary materials (such as presentations and reports)
  • Coordinates with stakeholders on a global scale
  • Schedules appointments and meetings, ensuring effective coordination across various locations
  • Organizes participation in board and management meetings
  • Assists the EMEA management team as needed

Administrative Support

  • Manages intricate calendars
  • Arranges travel itineraries
  • Books travel accommodations, including flights, vehicles, and lodging

Communication Management

Maintains confidentiality and handles sensitive information with care.

  • Manages correspondence, takes minutes, and records dictation
  • Communicates effectively with team members and stakeholders
  • Ensures that relevant internal and external parties are informed of commitments and that necessary documents are distributed promptly
  • Screens phone calls and emails, addressing inquiries and requests appropriately

Project Coordination

Oversees special projects as required.

Financial Oversight

  • Processes expense reports and purchase orders, ensuring timely completion
  • Manages departmental financial plans
