Senior Administrative Coordinator for Executive Leadership

Role Summary

This dynamic position offers a unique opportunity to engage in a crucial role within a fast-paced and esteemed Executive Office at a leading pediatric healthcare institution.

The Executive Office is seeking an outstanding Senior Administrative Coordinator with significant experience in executive support to join our team. This role will provide high-level professional administrative assistance to the Executive Leadership Team.

Key Responsibilities include, but are not limited to:

  • Managing complex calendars and scheduling appointments
  • Organizing and prioritizing communications
  • Coordinating meetings and events, including logistics and documentation
  • Drafting correspondence, reports, and presentations
  • Maintaining effective internal and external relationships

The ideal candidate will possess exceptional organizational and interpersonal skills, be proficient in Microsoft Office applications, and demonstrate the ability to communicate effectively across all levels of the organization. A flexible approach to work is essential to meet varying deadlines, and the candidate should thrive in a collaborative team environment.

Candidates should be highly driven and adaptable, with a proven track record of delivering superior administrative and executive support.

Main Responsibilities

The primary function of this role is to deliver comprehensive administrative and executive support to designated Executive Directors. The incumbent will be responsible for coordinating and scheduling regular high-level meetings, maintaining action logs, managing diary schedules, and compiling data and reports from various departments.

This position requires excellent communication skills and the ability to work independently to fulfill the core administrative functions for the assigned Executive Directors, ensuring adherence to governance standards and processes.

Education and Qualifications

Essential

  • Evidence of ongoing professional development
  • Degree-level education or equivalent experience in business administration

  • Strong interpersonal and communication skills for liaising with individuals at all levels
  • Proficient in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint
  • Demonstrated secretarial skills with the ability to produce high-quality documents
  • Ability to work collaboratively as part of a team
  • Capable of prioritizing tasks to address urgent requests
  • Self-motivated with a calm demeanor under pressure
  • Experience in event coordination
  • Ability to manage conflicting deadlines

Knowledge and Experience

Essential

  • Excellent administrative, organizational, and planning capabilities
  • Extensive experience as a Personal Assistant to senior management or as an Executive Assistant
  • Previous experience in supporting the administration of a corporate division
  • Familiarity with maintaining office systems and record-keeping
  • Experience in minute-taking at executive meetings
