About the Role

We are seeking a highly skilled and organized Medical Secretary to join our team at Dr Clarke & Partners. As a Medical Secretary, you will play a vital role in providing administrative support to our GPs and ensuring the smooth operation of our practice.

Key Responsibilities

  • Provide a full and confidential secretarial service to 4 GPs, including audio typing and utilising medical terminology.
  • Deliver accurate referral letters and other correspondence using the Electronic Referral Service.
  • Word process referral letters, reports, and GP correspondence as required from audio and manuscript.
  • Perform general secretarial duties, including filing, reports, scanning, and minute preparation.
  • Act as a point of contact for GPs, patients, relatives, and external bodies, ensuring a full audit trail.
  • Arrange urgent referrals, keep records of patients referred under the 2-week wait rule, and arrange hospital transport for eligible patients.
  • Ensure accurate input of information to the medical computer system and maintain efficient office filing and information systems.

Person Specification

  • Typing to RSA II or equivalent experience.
  • Ability to work as part of a team and use own initiative.
  • Good customer service skills and ability to communicate effectively.
  • Flexible and able to work in a changing environment.
  • Good organisational skills and ability to work under pressure.
  • Pleasant and articulate, with the ability to maintain confidentiality at all times.
  • Evidence of sound GCSE results (or equivalent).
  • Patient and understanding, with the ability to follow instructions and procedures.
  • Ability to work accurately and methodically, and to recommend and contribute to new ideas for overall efficiencies of service.

Desirable Qualifications and Experience

  • Experience of SystmOne clinical system.
  • Experience of Electronic Referral System (ERS).
  • Experience of Primary Care.
  • Computer literate (Microsoft Office).
  • Experience of dealing with patients/public and people who may be angry or upset.
