Position Overview

Manor Field Surgery is seeking a dedicated and dependable individual with strong communication and computer skills to become a vital part of our dynamic team. This role involves working 24 hours per week over four days, commencing at 8 AM.

The ideal candidate will thrive in a fast-paced environment, demonstrating flexibility to accommodate the needs of the organization while possessing a strong desire for personal and professional growth.

While prior experience in document management, clinical coding, and Quality and Outcomes Framework (QOF) is advantageous, comprehensive training will be provided to the selected candidate.

Key Responsibilities

The primary objective of this role is to deliver precise and efficient administrative and secretarial support to the practice team utilizing relevant information technology applications.

Administrative and Secretarial Duties:

  • Support the General Practitioners, Practice Manager, and Nursing Team with a variety of administrative and secretarial tasks, including:
  • Child Immunisation Programme - Maintain the Child Immunisation Call and Recall programme, ensuring accurate patient data entry and timely communication with the Nursing Team and Practice Manager.
  • Cervical Cytology Programme - Oversee the Cervical Cytology Call and Recall programme, ensuring data accuracy and timely follow-ups.
  • Flu Campaign - Manage the seasonal Flu Call and Recall programme in collaboration with the Nurse Manager.
  • Prescription Pricing Authority - Ensure timely reconciliation and submission of prescriptions for personally administered drugs.
  • Prescription Log - Maintain an up-to-date prescription log and order supplies as necessary.
  • Fridge Temperature Monitoring - Conduct daily checks of fridge temperatures and maintain a log, reporting any discrepancies to the nursing team.
  • Update the Deaths Board and ensure accurate computer entry of patient deaths.
  • Conduct annual equipment checks for the practice inventory in coordination with the Practice Manager.
  • Log and bank private income received at appropriate intervals.
  • Insurance and Medical Reports - Assist Grade 2 Administrators in logging requests for Insurance and Medical Reports, ensuring timely processing and payment logging.
  • Stationery Management - Support Grade 2 Administrators in maintaining adequate stationery supplies and placing orders as needed.

Information Technology Responsibilities:

  • Data Input - Scan and code all clinical and other correspondence, addressing any clinician-marked actions as per practice protocol.
  • Patient Registration - Manage the electronic receipt of new patients and ensure proper handling of patient records.
  • Oversee assigned areas of Disease Management and Enhanced Services Call and Recall systems.
  • Submission of Enhanced Service Claims - Generate and submit claims at the end of each reporting period.
  • QOF - Collaborate with the Care Coordinator to conduct database searches and reports related to QOF.
  • Clinical Appointments System - Manage rota templates and make necessary adjustments for holiday and sickness cover.
  • Address tasks assigned to Administrators on SystmOne promptly.
  • Serve as the first point of contact for all IT-related queries within the practice.

Additional Responsibilities:

  • Medical Students - Assist with the appointment and induction of medical students in accordance with practice guidelines.
  • Provide support for Health Care Assistants in the Teledermatology referral service.
  • Offer reception cover as needed to support practice operations.
  • Participate in annual appraisals and Personal Development Reviews (PDR).
  • Engage in ongoing training and personal development relevant to the role.
  • Undertake any other duties as required that align with the role and grade.

Essential Qualifications and Skills

Required:

  • Secondary School Level Education
  • Proficient computer literacy and typing skills
  • Strong written and verbal communication abilities
  • Excellent organizational and prioritization skills
  • Ability to work collaboratively and independently
  • Capacity to meet deadlines

Preferred:

  • Experience in a GP Practice setting
  • Familiarity with SystmOne clinical software
  • Strong multi-tasking capabilities
