**Key responsibilities**
Always ensure strict confidentiality and comply with the requirements of the Data Protection Act and Access to Health Records Act and legislation issued in relation to confidential data.
Prioritise and manage a busy workload in order to provide a comprehensive and efficient medical secretarial service to the consultant surgeons.
Work as part of a team, recognising the ability of others, to ensure the efficient running of the company.
Responsible for the co-ordination and transcription of dictation to produce clinical letters, reports, operation notes etc within acceptable timeframes.
Maintain accurate, up to date patient records.
Act upon instructions given by the consultants as necessary.
Act as an initial point of contact for GPs, other consultants, medical staff, health care professionals, patients etc. Receive telephone calls and take appropriate action ensuring effective communication is used and timescales are met.
Deal with conflicting and changing priorities using initiative within the remit of the role.
Proactively monitor and chase outstanding results to ensure patient pathways are managed safely and in a timely manner.

**Detailed job description**
Provide an efficient, personal secretarial service to the team of Consultant Orthopaedic Surgeons and supporting staff. Take ownership and responsibility for the workload of the consultants.
Accurate data input onto patient management system.
Schedule/management of outpatient clinics.
Schedule/management of theatre lists, negotiating theatre allocation and anaesthetic cover.
Waiting list management.
Maintain accurate and up to date patient records.
Accurate audio transcription of clinical letters, operation notes, correspondence to GPs, patients and medical staff.
Accurate audio transcription of detailed medical reports for legal/insurance purposes using standardised templates where necessary.
Receive telephone calls and take appropriate action ensuring effective communication is used and timescales are met.
Raise invoices for consultations and procedures.
Invoice reconciliation and credit control.
Effective consultant diary management in line with hospital guidelines.
Act upon the consultant’s instructions as necessary, which may be included in clinical dictations or given verbally.
Act as an initial point of contact for GPs, other consultants, medical staff, health care professionals, patients etc. This will require excellent communication skills and time management to track tasks through to completion. Certain tasks are highly time sensitive, therefore proactively monitoring these is crucial to ensure patient pathways are managed safely.
Deal with conflicting/changing priorities using initiative within the remit of the role. This requires a high degree of autonomous time management and task prioritisation, using the patient management system, and communication with administrative and clinical colleagues.
Establish and maintain good working relationships with fellow professionals in different organisations as well as our own consultants, staff and directors.
Recognise the ability of others and work as a team to resolve issues. Team members may have differing roles and responsibilities; it is important to recognise these and utilise expertise to reach a successful solution.
Occasional delegated duties of booking meeting dates and venues, organising and distributing paperwork as required by the clinical team/supervisor.
Regularly revisit protocols, guidelines and procedures to improve and update our service.
Where necessary, provide cover for periods of sickness and annual leave.
Attend and actively participate in team meetings.
Bring to attention any difficulties around work and seek advice where appropriate.
Participate in staff appraisals and be responsible for complying with your agreed personal development objectives.
Undertake in-service training as required.
Maintain and develop current knowledge base to improve service and delivery.
