Position Overview

Aspire Personnel Ltd is seeking a dedicated Facilities Operations Coordinator to join our dynamic team within the Facilities Management sector.

Key Responsibilities
  • Client Liaison: Collaborate with clients and operational teams to schedule all sub-contractor reactive maintenance visits, ensuring a seamless end-to-end process.
  • Service Coordination: Organize sub-contractor service visits in accordance with the Planned Preventative Maintenance (PPM) schedule.
  • Record Management: Review service records and initiate follow-up work orders as necessary, assigning tasks to the appropriate resources with the correct priority.
  • Team Support: Work closely with operational delivery teams and the Scheduling department to ensure all tasks are managed effectively.
  • Relationship Management: Maintain strong relationships with sub-contractors, ensuring timely and high-quality service delivery, while escalating issues to operational and procurement teams as needed.
  • Minor Works Management: Oversee all chargeable Minor Works Requests, including procurement operations.
Meetings and Representation

Participate in client and operational meetings as a representative of the account, providing support to operational teams.

Qualifications
  • Experience working with maintenance contractors.
  • Excellent communication skills, particularly over the phone.
  • Proficient in Microsoft Office applications.
  • A willingness to engage in further technical and business training.
