Position Overview

Hlx Life Sciences is seeking a dedicated Office Manager to enhance the efficiency of our executive team. This pivotal role will support the leadership group, including the CEO, CFO, and department heads, while ensuring the seamless operation of our office environment.

As part of a dynamic and engaging team, you will be integral from day one, contributing to a positive workplace culture.

This position is primarily office-based, requiring attendance four days a week, with the flexibility of working from home on Fridays. It offers a unique opportunity for personal and professional growth, allowing you to shape the role to your strengths.

Key Responsibilities:

  • Calendar Management: Skillfully organize and manage the schedules of senior executives, including call handling and meeting arrangements.
  • Daily Operations Support: Facilitate daily activities, coordinate virtual meetings, and manage audiovisual setups.
  • Meeting Logistics: Prepare meeting spaces, welcome guests, and arrange catering for internal gatherings.
  • Board Support: Maintain the Board's calendar, prepare and distribute necessary documentation, and oversee room reservations.
  • Travel Management: Organize both domestic and international travel, ensuring compliance with travel policies and managing complex itineraries.
  • Document Management: Handle correspondence, file essential documents, and prepare monthly expense reports.
  • Office Administration: Supervise daily office functions, address facility issues, and liaise with IT and external service providers.
  • Vendor Management: Develop and oversee contracts for office services and supplies, ensuring budget adherence.
  • Human Resources & Facilities: Assist with onboarding and offboarding processes, manage office layout, and ensure compliance with health and safety regulations.
  • Central Point of Contact: Act as the primary resource for business needs, embodying the company’s culture and values.

Qualifications:

  • Proven experience in a Biotech or Pharmaceutical setting, or within a small business/start-up where you have successfully implemented growth-oriented processes.
  • A minimum of 5 years of experience as an Office Manager or Executive Assistant, adept at balancing the daily operational responsibilities while providing support to C-suite executives.
