Patient Access Scheduler

An exciting opportunity has arisen within the London North West University Healthcare NHS Trust for a Patient Access Scheduler. This role is pivotal in ensuring the seamless coordination of elective admissions for patients.
Key Responsibilities:
- Coordinate elective admissions for patients, ensuring efficient scheduling.
- Engage in daily communication with consultants and surgeons across various sites to maximize the utilization of elective inpatient theatre sessions, while considering clinical urgency and waiting list times.
- Monitor and audit trust data received from the Performance and Information department, managing waiting lists to prevent breaches of national access and booking targets, in alignment with the Trust's Patient Access Policy.
- Ensure synchronization between outpatient and inpatient waiting lists to facilitate tracking of patient pathway target times for the national 18-week pathway, collaborating extensively with colleagues across the Trust.
- Book pre-assessment and related appointments promptly, adjusting lists as necessary for patients who may not pass pre-assessment or require additional tests.
- Order special or individual equipment for theatres in a timely manner to prevent patient cancellations due to equipment shortages, and arrange appropriate transport for patients.

- Ensure that elective theatre lists are accurately compiled and updated on the relevant Trust systems, with oversight from surgical teams and management.
- Contact patients to offer them a choice of admission dates, aligning with the Patient Access Policy.
- Create waiting list entries for patients requiring admission, ensuring the correct OPC code is utilized.
- Schedule investigation appointments for patients, confirming bookings and communicating with them for short-notice appointments.
- Prioritize booking patients based on clinical urgency and chronological order.
- Take the lead in booking procedures to ensure efficient utilization of theatre capacity.
- Coordinate bed bookings for HDU/ECU/PACU/ITU as necessary.
- Manage elective admissions for cancer patients, collaborating closely with Cancer MDT Coordinators to meet scheduling targets.
- Facilitate online pre-assessments for patients once a consultant raises a TCI.
- Inform patients about necessary pre-admission tests and ensure compliance with pre-operative instructions.
- Re-schedule patients in accordance with cancellation breach guidelines.
- Liaise with other specialties for complex multi-surgeon case scheduling.
- Understand and integrate the impact of scheduling utilization and case mix into capacity planning.
