Job Summary

The London North West Healthcare NHS Trust is seeking an experienced Occupational Therapist to fill the role of Elective Theatre Coordinator. This position requires a highly organized and detail-oriented individual to coordinate elective theatre lists, ensuring efficient utilization of theatre capacity.

Key Responsibilities

  • Compile and update elective theatre lists on iCS, reviewing and signing off with relevant surgical teams and General Management.
  • Contact patients to offer a choice of admission dates, agreeing on a date in line with the Patient Access Policy.
  • Create waiting list entries for patients requiring admission, ensuring correct OPC codes are used.
  • Schedule patient investigation appointments, booking on iCS and sending confirmation letters, with follow-up phone calls for short-notice bookings.
  • Book patients in chronological order or by clinical urgency, ensuring theatre capacity is utilized efficiently.
  • Lead responsibility for booking procedures, proactively managing theatre capacity.
  • Book HDU/ECU/PACU/ITU beds according to procedure nature or surgical team requests.
  • Coordinate elective admissions for cancer patients, liaising with Cancer MDT Co-ordinators to schedule within cancer pathway targets.
  • Send online pre-assessments to patients once a consultant raises a TCI on ICE.
  • Inform patients about lateral flow tests 72 hours prior to admission.
  • Ensure pre-operative assessment instructions are actioned.
  • Re-book patients in line with 28-day cancellation breach date guidelines if cancelled on the day by hospital.
  • Liaise with other specialties for complex multi-surgeon case scheduling.
  • Monitor scheduling utilization and case mix, integrating this into capacity planning.
  • Keep up-to-date records of consultant and team leave, confirming list status six weeks in advance.

Education/Qualifications

Essential Criteria

  • A*-C GCSEs including Maths, English, and Science/Level 3 equivalent.
  • Great communication skills and strong administration experience.
  • NHS experience.

Desirable Criteria

  • Medical terminology.
  • Scheduling experience.
