40 hours per week, scheduled over 3.5 days from Monday to Sunday, including public bank holidays, with two shift options:
Night Shift: working from 18:30 to 07:00

The Traffic Office Administrator plays a crucial role at Belfast VOC, ensuring the safety, efficiency, and cost-effectiveness of our fleet operations. Adherence to established standards and procedures is essential as you will be responsible for:
- Maintaining the Distribution Management System with accurate daily data input and conducting end-of-duty debriefs with all drivers.
- Updating Isotrak, Business Asset Tracker, and Vision FTA to ensure compliance with European legislation regarding HGV drivers' hours.
- Issuing vehicle keys and logbooks in accordance with Royal Mail protocols.
- Downloading digital tachograph cards as per Royal Mail policies.
- Conducting daily debriefs with drivers and escalating any unresolved issues to the shift manager.
- Ensuring that planned vehicle maintenance is performed and that the maintenance board and vehicle files are consistently updated.
Additionally, this role may require you to assist with other administrative tasks as needed.
Candidate Profile
- Highly organized, self-sufficient, and motivated.
- Familiarity with safety and legal standards, including drivers' hours regulations, vehicle inspections, Safe Systems of Work, risk assessments, and accident investigations.
- Preferred experience in the mail and parcel industry with a solid understanding of operations.
- Proficient in computer use, with strong numeracy and literacy skills, particularly in Microsoft Excel and Word.
- Able to manage data input within deadlines while ensuring confidentiality.
