Job Summary

We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Allina Health. As a Medical Office Coordinator, you will play a critical role in maintaining the daily operations of our healthcare facilities, ensuring seamless patient care and efficient clinical operations.

Key Responsibilities

  • Scheduling and Coordination
    • Schedule and reschedule patient appointments, procedures, and tests between multiple providers, ensuring timely and accurate communication.
    • Verify insurance and obtain prior authorizations as needed, and manage the patient outcome tool, including preparation and distribution.
    • Arrange interpreter services for patients as needed and create, delete, and modify schedule versions and calendars to reflect changes in provider schedules.
  • Administrative Department Support
    • Provide department reception, patient check-in, and telephone coverage, routing messages accordingly.
    • Track insurance verification using multiple systems, maintain lobby area, and ensure patient documentation is complete.
    • Organize and maintain department records, manuals, and patient education materials, and participate in completion of patient data reporting requirements.
  • Chart Preparation
    • Analyze patient records to determine if outside documents are needed, review patient consent forms, and ensure they are updated with the patient.
    • Contact document source, obtain records, scan, and index into the electronic medical record.
  • Other Duties
    • Perform other duties as assigned by management, ensuring the highest level of patient satisfaction and care.

Requirements

  • Must be 18 years of age with education and/or experience needed to meet required functional competencies.
  • High school diploma or GED, post-secondary education in a medical field, and 2-5 years of experience in a medical office, including administrative support, scheduling, customer service, and working knowledge of Microsoft Suite and electronic medical records.

Physical Demands

  • Sedentary: lifting weight up to 10 lbs. occasionally, negligible weight frequently.
