Position Overview: The role involves managing all requests for patient case notes efficiently and with meticulous attention to detail. This includes handling telephone calls, written inquiries, and emailed requests.

Key Responsibilities:

  1. Promptly action all requests for case notes, ensuring a comprehensive record of each interaction.
  2. Retrieve and prepare medical records, ensuring they are accurately traced to the relevant department.
  3. Guarantee that all records are accessible for daily clinic operations, notifying the appropriate teams of any unavailable notes ahead of scheduled appointments.
  4. Unpack and pre-sort incoming deliveries of case notes and loose documents into designated filing areas.
  5. File documents into the main storage system, meticulously tracing each case note throughout the filing process.
  6. Distribute all incoming mail, both external and internal, to the correct office locations.
