We are seeking to appoint both a full-time and a part-time Administrative Coordinator to join our team within the Fuller and Forbes Partnership.
The Administrative Coordinator is essential in overseeing and organizing patient referrals, ensuring the smooth operation of referral systems, and facilitating patient interactions related to referrals. This position is vital in harmonizing clinical care pathways with administrative functions, significantly influencing the delivery and coordination of patient care.
Key Responsibilities
Referral Oversight:
- Referral Management: Supervise and manage the referral process from initiation to completion. Ensure that referrals are processed promptly and accurately, coordinating with healthcare providers, patients, and insurance entities as necessary.
- System Administration: Maintain and update referral systems to ensure they are efficient and current. Regularly monitor the system to identify and resolve any issues swiftly.
Documentation and Communication:
- Administrative Duties: Handle all administrative aspects of referrals, including typing referrals, managing correspondence, and maintaining detailed records of all referral actions and outcomes.
- Patient Interaction: Serve as the primary point of contact for patients regarding referrals. Provide updates, address inquiries, and guide patients through the referral process to ensure a seamless experience.
- Information Verification: Confirm patient details, insurance information, and referral requirements to prevent discrepancies that could delay care.
Administrative Support:
- Clerical Responsibilities: Perform various clerical tasks including filing, photocopying, and organizing documents related to patient referrals.
- Report Generation: Prepare accurate reports on referral statuses and outcomes for review by management. These reports are essential for monitoring performance and implementing improvements.
- Meeting Coordination: Schedule and organize meetings related to referral processes, ensuring all relevant parties are informed and prepared.
- Summarization: Summarize medical records and manage the receipt and dispatch of medical documentation.
- eConsultations: Process eConsultations as required.
- Miscellaneous Tasks: Undertake any other administrative work as needed.
Communication and Coordination:
- Internal Liaison: Act as a liaison between various departments to ensure referral processes are integrated smoothly across the organization.
- External Communication: Manage communications with external entities such as other healthcare facilities, specialists, and insurance companies to facilitate efficient referral processes.
Quality Assurance:
- Process Enhancement: Continuously assess and improve referral processes. Implement changes to enhance accuracy, efficiency, and patient satisfaction.

Qualifications
