Position Overview

We are seeking a dedicated individual for a part-time position, requiring 14 hours of work per week. The schedule includes specific days, and applicants must be available during these times.

Members of the reception team may also need to adapt to varying shift patterns throughout the week. Flexibility in scheduling is crucial, as there may be instances where coverage is needed on short notice due to unforeseen staff absences. Candidates should ensure they can accommodate these potential changes before applying.

Key Responsibilities

The successful candidate will assist and guide patients in accessing the appropriate services or healthcare professionals in a polite, efficient, and effective manner.

Provide essential support to the practice team while maintaining a welcoming and friendly atmosphere for patients and visitors, whether in person or over the phone.

About Our Practice

We are a busy healthcare facility dedicated to serving our community.

While experience in a healthcare setting is preferred, candidates with a background in customer service or administrative roles will also be considered if relevant.

Job Duties

Reporting Structure: Reports to the Practice Manager.

Role Summary:

Assist and direct patients in accessing the necessary services or healthcare professionals in a courteous and effective manner.

Provide general support to the practice team and maintain a positive and friendly image for patients and visitors.

Administrative Responsibilities:

  • Maintain a comprehensive understanding of all practice procedures.
  • Adhere to established protocols.
  • Manage the scanning and filing of correspondence in medical records.
  • Handle faxing and photocopying as required.

Reception Duties:

  • Welcome patients and assist them in consulting with the practice team.
  • Distribute completed prescriptions to patients while verifying their details.
  • Be prepared to cover all reception roles as necessary.

Appointment Management:

  • Process requests for both urgent and routine appointments from patients via phone and in person.
  • Handle visit requests efficiently.

Computer Responsibilities:

  • Register new patients and manage data entry in medical records.
  • Process changes of address and maintain accurate medical records.
  • Scan medical records as needed.
  • Handle repeat prescription requests in line with practice guidelines.

Telephone Duties:

  • Utilize the telephone system effectively.
  • Direct calls appropriately.
  • Manage phone settings for day and night modes.

Additional Tasks:

  • Ensure rooms are stocked and organized.
  • Maintain security of the building and be familiar with alarm systems.
  • Assist with refreshments for the medical team.
  • Perform any other tasks assigned by the Reception Team Leader.

Access to confidential information regarding patients, staff, and the practice is restricted to authorized personnel only, in accordance with practice policies.
