Job Summary

We are seeking a highly organized and detail-oriented Partnership Coordinator to join our team at Lane Clark & Peacock. As a key member of our support staff, you will play a vital role in ensuring the smooth operation of our partnership management and administration functions.

Key Responsibilities
  • Partner Management and Organisation
    • Manage partner diaries by responding to invitations and proactively resolving meeting clashes
    • Liaise with internal and external contacts to arrange meetings, book rooms, and coordinate technical requirements and catering
    • Attend external and internal meetings, take minutes, and manage action items and deadlines
    • Meet and greet external contacts at our office
  • Partnership Support
    • Prepare monthly fee notes using our internal billing system and liaise with client teams to ensure billing deadlines are met
    • Assist with monitoring budgets and time analysis, creating fee letters, and updating fee schedules as needed
    • Confidently use our internal CRM system to add contacts, manage mailing lists, and connect users
    • Complete the client onboarding process for new work assignments, including finance requirements, conflict checks, and collecting necessary forms and information
    • Liaise directly with new suppliers, assist with onboarding, and complete new supplier due diligence and forms
    • Assist partners with completing their Continual Professional Development (CPD)
  • Travel and Events
    • Arrange UK and international travel and accommodation using our travel booking system
    • Support and manage events by managing mailing lists, sending invitations, monitoring RSVPs, and attending events to register and greet guests
  • Administration
    • Assist partners and staff in producing written or visual materials, such as letters, reports, tenders, agendas, and presentations
    • Complete expense forms and submit to the Finance team on behalf of partners and staff, ensuring claims align with Expense Guidelines
    • Update spreadsheets with holiday bookings and study leave schedules, and advise on any conflicts
    • Keep our intranet up to date by amending and creating new pages
    • Attend and participate in weekly team meetings, take actions, and follow up as necessary, proactively updating team channels with company news, announcements, and reminders, and organizing team events and socials
    Requirements
    • Previous Experience
      • Ideal experience in a similar role, with the ability to multitask, juggle competing priorities, and meet deadlines
    • Skills and Qualities
      • Highly organized and detail-oriented personality
      • Excellent oral and written communication skills, with a flair for proofreading and writing correspondence
      • Comfortable liaising with stakeholders to manage risk and proactively resolve issues
      • Ability to work independently, with a willingness to provide support to other PAs as needed
      • Competent across Microsoft Office applications, including Teams, Word, PowerPoint, Outlook, and Excel
      • Willingness to learn our in-house systems, house style, billing process, and potentially InDesign as needed
      • Basic knowledge of accountancy is helpful but not essential
