Position Overview

Work Schedule - Full-time or part-time (Flexible)

This role is intended to cover maternity leave, with potential for extension or transition into a permanent position.

We are seeking a motivated Administrative Reception Coordinator with outstanding interpersonal and communication abilities to become a vital member of our dynamic and supportive team.

As the initial point of contact for our practice, you will assist patients both in person and over the phone, demonstrating empathy and teamwork.

Key Responsibilities

- Addressing patient inquiries, both face-to-face and via telephone

- Scheduling appointments

- Supporting patients with online access

- Guiding and directing patients to the appropriate clinician or service

- Managing prescription and referral inquiries

- Assisting the administrative team with various tasks

About Our Practice

Our practice serves a patient base of nearly 8,000, supported by 4 GP Partners and a dedicated team of friendly staff.

Job Duties

As the first point of contact for patients, visitors, and callers, you will provide a welcoming, efficient, and helpful service.

  • Welcome and assist patients at the reception and over the phone in a courteous manner.
  • Manage patient appointments, including making, changing, and canceling them via phone, in person, or through our online platform.
  • Address all inquiries and, when necessary, direct them to the appropriate personnel.
  • Utilize care navigation to guide patients to the most suitable clinician or service.
  • Explain the registration process to new and temporary patients and input their information into the clinical system.
  • Inform and enroll patients in the practice's online access services.
  • Process requests for repeat prescriptions in line with practice protocols.
  • Use communication tools to contact patients as needed.
  • Monitor the practice website dashboard and handle correspondence as required.
  • Complete administrative tasks as assigned.
  • Input patient data into the computer system as necessary.
  • Follow up on results, appointments, and reports.

  • Experience working with the public/patients
  • Team collaboration skills
  • Ability to prioritize tasks and meet deadlines
  • Administrative background
  • Reception experience
  • Capacity to work under pressure in a dynamic environment
  • Proven ability to work independently and solve problems

Preferred Experience

  • Background in general practice or healthcare
  • Familiarity with EMIS Web

Educational Qualifications

Essential

  • Minimum education level of GCSE or equivalent, including GCSE English
