About the Role

As a key point of contact for new clients and various departments, you will provide precise information regarding inquiries to the appropriate legal teams. Your role will be crucial in ensuring that both potential and existing clients receive exceptional service, fostering repeat business and client referrals.

This position is ideal for someone who is committed and motivated to deliver outstanding customer service.

Key Responsibilities:

  • Engaging with clients through phone and email to gather information on their needs, setting up customer accounts, and discussing their requirements;
  • Maintaining a professional and confident demeanor at all times;
  • Building and sustaining positive relationships with clients;
  • Managing all correspondence received in the designated email inbox;
  • Responding to voicemails and handling incoming and outgoing calls;
  • Keeping accurate and current records;
  • Delivering high standards of client service;
  • Updating clients and referrers in accordance with service level agreements;
  • Coordinating with relevant parties to ensure progress on matters;
  • Addressing a variety of situations with tact, diplomacy, and empathy;
  • Processing new instructions and preparing for client file openings;
  • Handling scanned documents that require action;
  • Reviewing client documentation;
  • Corresponding with clients, partners, and various stakeholders to ensure effective transaction handling;
  • Communicating with clients regarding their legal inquiries and directing them to the suitable department;
  • Ensuring a seamless and efficient client journey.

Required Skills and Knowledge:

  • Proficient IT skills;
  • Familiarity with Case Management Systems (training will be provided);
  • Strong telephone communication skills and message-taking ability;
  • Good typing proficiency;
  • Ability to work collaboratively within a team;
  • Understanding of the firm's postal systems (training provided).
