Position Overview

We are seeking a dedicated individual to join our administrative team, providing essential support to our secretarial staff.

The ideal candidate will possess strong attention to detail, the ability to adhere to established processes, and a commitment to completing tasks efficiently while meeting performance indicators. Excellent telephone etiquette, effective communication skills, and the ability to collaborate within a team, as well as work independently, are essential attributes for this role.

Working Schedule:

  • Monday: 10:00 - 14:00 | 30 mins Lunch | 14:30 - 18:00
  • Tuesday: 09:00 - 13:00 | 30 mins Lunch | 13:30 - 17:00
  • Wednesday: 09:00 - 13:00 | 30 mins Lunch | 13:30 - 17:00
  • Thursday: 09:00 - 13:00 | 30 mins Lunch | 13:30 - 17:00
  • Friday: 10:00 - 14:00 | 30 mins Lunch | 14:30 - 18:00

Key Responsibilities:

The role of the Administrative Support Specialist involves assisting the secretarial team by managing various administrative tasks, including but not limited to:

  • Coordinating and processing requests, ensuring verification is documented accurately.
  • Facilitating communication with healthcare professionals.
  • Managing electronic document tasks, such as sending patient summaries.
  • Handling referrals for specialized medical services.
  • Monitoring and responding to information requests via email.
  • Addressing telephone inquiries professionally.
  • Scanning and organizing patient records and reports.
  • Generating invoices and managing basic administrative paperwork.
  • Assisting with various clinical tasks as required.
  • Processing referrals for health programs.
  • Managing queries related to service wait times.
  • Coordinating health promotion referrals.
  • Handling specific medical analysis requests.
  • Managing appointment scheduling and related tasks.
  • Preparing reports for relevant authorities.
  • Maintaining accurate patient notes and documentation.

Additionally, the candidate will be responsible for:

  • Scanning documents with attention to detail regarding format and content.
  • Accurately coding clinical information in accordance with established protocols.
  • Sending follow-up correspondence to patients as necessary.

Qualifications:

Essential:
