The Role

This is an exciting opportunity to provide high-level support to the Chairman, Impressionist & Modern Art Department, and the Vice Chairman. As an Assistant, you will work closely with these leaders to ensure effective support and client management of their international clients.

Key Responsibilities

  • Provide administrative support, including:
    • Preparing correspondence, drafting letters, and emails
    • Managing complex schedules, booking travel, and handling expenses
    • Coordinating proposals and valuations as required
    • Updating and maintaining files and internal systems
  • Coordinate tasks and actions while managers are traveling
  • Develop and maintain strong client relationships
  • Establish effective working relationships with the EAs of high-priority clients and internally across the business
  • Support the Client Strategist in ensuring streamlined communication related to business development and client engagement
  • Assist with client and business development initiatives, such as updating client systems and sending targeted communications
  • Provide liaison support with other departments and international colleagues, ensuring a seamless service to mutual clients
  • Coordinate meetings and conference calls with foreign offices
  • Organize public relations and communications with the worldwide Press team
  • Arrange lunches and assist with dinner arrangements for VIP clients
  • Address general queries, problem-solve, and follow tasks through to completion
  • Support administration linked to personal life as required
  • Assist with ad hoc projects or support to other visiting Chairmen as assigned

Requirements

  • Possess exceptional diary management skills
  • Possess excellent secretarial skills and be dependable, flexible, discreet, and diplomatic
  • Be computer literate, with excellent knowledge of Word, Excel, Outlook, and PowerPoint
  • Possess excellent communication skills (both written and spoken)
  • Be well-organized, with a good eye for detail and the ability to prioritize tasks
  • Enjoy trouble-shooting and using initiative
  • Be a team player, capable of working well as part of a busy, highly pressurized team
  • Have a friendly and approachable manner towards both clients and colleagues
