The Role

This is an exciting opportunity to provide high-level support to the Chairman, Impressionist & Modern Art Department, and the Vice Chairman, Head of Private Sales. As an Assistant, you will work closely with these leaders to ensure effective support and client management of their international clients.

Key Responsibilities

  • Provide administrative support, including:
    • Preparing correspondence, drafting letters, and emails
    • Managing complex schedules, booking travel, and handling expenses
    • Coordinating proposals and valuations as required
    • Updating and maintaining files and internal systems
  • Coordinate tasks and actions while managers are traveling
  • Develop and maintain strong relationships with clients and colleagues
  • Work closely with the Client Strategist to ensure seamless communication related to business development and client engagement
  • Support the Business Developer/Client Strategist with client and business development initiatives
  • Effectively liaise with other departments and international colleagues to ensure a seamless service to mutual clients
  • Coordinate meetings and conference calls with foreign offices
  • Organize public relations and communications with the worldwide Press team
  • Arrange lunches and assist with dinner arrangements for VIP clients
  • Address general queries, problem-solve, and follow tasks through to completion
  • Support administration linked to personal life as required
  • Assist with ad hoc projects or support to other visiting Chairmen as assigned

Requirements

  • Possess exceptional diary management skills
  • Possess excellent secretarial skills and be dependable, flexible, discreet, and diplomatic
  • Computer literate, with excellent knowledge of Word, Excel, Outlook, and PowerPoint
  • Possess excellent communication skills (both written and spoken)
  • Well-organized, with a good eye for detail and the ability to prioritize tasks
  • Enjoy trouble-shooting and using initiative
  • Be a team player, capable of working well as part of a busy, highly pressurized team
  • Enthusiastic with a flexible approach and exceptional client service skills
