Role Overview

Landmarc is seeking an IT Coordinator who will be instrumental in ensuring the effective execution of various projects while supporting IT Project Managers. Key responsibilities include:

  • Assisting in the management of project timelines and schedules.
  • Coordinating activities across diverse teams, particularly within product teams.
  • Gathering and analyzing project status data, identifying issues and risks that require attention.
  • Developing and updating project dashboards and key performance indicators (KPIs) to provide insights and recommendations for project enhancements.

Effective communication is essential in this position. You will facilitate smooth interactions among project and product teams, stakeholders, and senior management. This involves preparing and distributing meeting agendas, minutes, and action items to ensure all parties are informed about project statuses. Additionally, you will create and disseminate communications, such as newsletters and emails, to keep users updated on IT developments.

Process Improvement and Resource Management

Your role will also encompass identifying opportunities for enhancing processes within the PMO and across IT projects. Responsibilities include:

  • Assisting in the formulation and implementation of PMO standards, procedures, and best practices.
  • Managing capacity planning and resource allocation to ensure accurate forecasts are maintained.
  • Tracking supplier contracts and performance, ensuring effective supplier management.
  • Supporting the IT Leadership team in budget preparation and reporting.

Additionally, you will assist in IT procurement and invoice processing, ensuring seamless financial operations.

Collaboration and Training

Supporting the Head of Department and the broader IT Leadership Team in reporting to stakeholders will be part of your responsibilities. You will help refine Technology Enablement Team processes and documentation, including reports and project updates. Furthermore, you will manage relevant systems and tools, ensuring that information is accurate and up-to-date, while providing training and support to team members on project management tools.

Qualifications and Skills

To excel in this role at Landmarc, candidates should possess a blend of essential skills, experience, and qualifications:

  • Previous experience in IT department support or project office management.
  • Proficiency in Microsoft Office, particularly Excel.
  • Strong time and resource management skills.
  • Experience in drafting project plans and schedules.

Desirable qualifications include experience with IT services or projects, interaction with IT suppliers, and familiarity with analysis and reporting tools. Effective communication skills, both written and verbal, are crucial, along with the ability to work independently and collaboratively.
