Role Summary:

As a Service Coordination and Administration Specialist, you will play a vital role in supporting the management team within our Outreach and Supported Living services. Your primary responsibility will be to oversee all administrative functions, ensuring seamless communication between management and support personnel while delivering an effective service. This position is integral to our highly respected team, focusing on the coordination and procurement of housing and care services aimed at enhancing the quality of support for both team members and service users.

Our Supported Living service is tailored to provide semi-independent living assistance to young individuals aged 16 and above, including Unaccompanied Asylum Seeking Children (UASC). The Outreach service offers community-based care and support to children and young people aged 0-18, extending assistance to families and engaging in multi-agency collaboration with other service providers.

Key Responsibilities:

  • Maintain and manage accurate paper and digital records to comply with all regulatory, statutory, and internal requirements.
  • Prepare reports and other written documentation as needed.
  • Organize and maintain files and records efficiently.
  • Take notes and minutes during meetings when required.
  • Foster and maintain relationships with stakeholders, addressing any issues or concerns.
  • Ensure compliance with HR, Recruitment, and Training by timely completion of all related documentation.
  • Answer inquiries via telephone in a friendly and efficient manner.
  • Coordinate supervisions with Deputy Managers and Managers across services.
  • Process and respond to new inquiries and referrals received by the service.
  • Schedule meetings with professionals and manage calendars effectively.
  • Procure properties to facilitate natural service growth.
  • Stay informed about changes to policies, procedures, or regulations affecting the service.
  • Support the Service Manager and deputies through promotion and participation in recruitment marketing events.
  • Assist in managing absence reporting and coordinating cover for assignments.
  • Facilitate proactive internal communication among staff using appropriate platforms.
  • Report any incidents or compliance issues to the Service Manager or appropriate management level.
  • Organize team meetings and coordinate agendas.
  • Manage work bookings and communicate with teams effectively.
  • Assist in ensuring high standards of support are provided to service users by staff.
  • Lead coordination efforts for training and health and safety initiatives.
  • Conduct regular administrative audits for the service.
  • Support the management of staff rotas.
  • Contribute to improving internal and external communications, training materials, and marketing resources.
  • Perform additional administrative duties as required, which may include visiting homes and engaging with support workers and young individuals.
  • Demonstrate clerical experience from a similar role.
  • Exhibit flexibility, organization, and the ability to prioritize workloads effectively.
  • Maintain composure under pressure and work independently.
  • Communicate clearly and effectively, with strong attention to detail and interpersonal skills.
  • Proficient in using Dropbox, Excel, Word, Outlook, PowerPoint, and Windows.
  • Provide excellent customer service, both verbally and in writing.
  • Manage time effectively and pay attention to detail.
  • Serve as a positive role model for the staff team at all times.
  • Ensure that the staff team receives appropriate support, mentoring, and supervision.
  • Carry out all duties with diligence and pride.
  • Be accountable for the safety and well-being of young individuals, promoting their best interests at all times.
  • Assist with supervisions as needed.
  • Ensure timely and efficient completion of all assigned tasks.

This role requires the successful applicant to undergo an enhanced DBS check for child and adult workforce with barred list checks.

This position is exempt from the Rehabilitation of Offenders Act 1974, and applicants must declare any unprotected convictions, cautions, reprimands, or final warnings as defined by the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (as amended).
