Job Overview:

As a Care Coordinator and Administrator, you will play a vital role in supporting the management team within our organization. Your primary responsibility will be to oversee all administrative functions of the Supported Living and Outreach services, ensuring seamless communication between management and support staff. This position is integral to our dedicated team, which focuses on enhancing the quality of care and support provided to young individuals and their families.

The Supported Living service aims to provide semi-independent living assistance to young people aged 16 and above, including those who are Unaccompanied Asylum Seeking Children (UASC). Our Outreach service delivers community-based support to children and young people aged 0-18, collaborating with families and various agencies, including social workers and local authorities.

In this role, you will embody the values of our organization, actively participating in the development and revision of essential documentation while mentoring and guiding your colleagues. Key Responsibilities:

  • Maintain accurate paper and digital records to comply with regulatory and internal requirements.
  • Prepare reports and other documentation as needed.
  • Organize and manage files and records effectively.
  • Take notes and minutes during meetings when required.
  • Foster relationships with stakeholders and address any concerns.
  • Ensure compliance with HR, recruitment, and training processes by completing necessary documentation promptly.
  • Handle telephone inquiries in a professional and friendly manner.
  • Coordinate supervisions with management for each service.
  • Process new inquiries and referrals efficiently.
  • Schedule meetings with professionals and manage calendars.
  • Assist in procuring properties to support service growth.
  • Stay informed about changes in policies and regulations affecting the service.
  • Support the management team through participation in marketing events for recruitment purposes.
  • Assist in managing absence reporting and coordinating cover for roles.
  • Communicate proactively with staff across services using appropriate platforms.
  • Report incidents or compliance issues to management promptly.
  • Organize team meetings effectively.
  • Facilitate communication regarding work assignments through various channels.
  • Support management in ensuring high standards of care are maintained.
  • Lead training and health and safety coordination efforts.
  • Conduct regular administrative audits for the service.
  • Assist in managing staff rotas efficiently.
  • Contribute to enhancing service communications, including training materials and marketing content.
  • Perform additional administrative tasks as required, including visiting service locations.
  • Demonstrate relevant clerical experience from a similar role.
  • Exhibit flexibility, organization, and problem-solving skills.
  • Maintain composure under pressure and work independently.
  • Communicate effectively in writing and verbally, with strong attention to detail.
  • Be proficient in using software such as Dropbox, Excel, Word, Outlook, and PowerPoint.
  • Provide excellent customer service, both verbally and in writing.
  • Manage time effectively and pay attention to detail.
  • Serve as a positive role model for the staff team.
  • Ensure staff receive the necessary support and supervision.
  • Carry out all responsibilities with diligence and pride.
  • Prioritize the safety and well-being of young people at all times.
  • Assist with staff supervisions as needed.
  • Ensure timely completion of all assigned tasks.

This position requires an enhanced DBS check for child and adult workforce with barred list checks.
