Job Overview:

As a Service Coordination and Administration Specialist, you will play a pivotal role within our head office, assisting the Outreach and Supported Living Manager alongside the Deputy Managers. Your primary responsibility will be to oversee all administrative functions of the service, ensuring seamless communication between management and support personnel while upholding an efficient and effective operation. This position is integral to our highly esteemed Supported Living and Outreach Team, focusing on the coordination and procurement of housing and care services to enhance the quality of support for both team members and service users, ensuring value for money and fostering engagement with service providers.

The Supported Living service is tailored to offer semi-independent living assistance to young individuals aged 16 and above, including Unaccompanied Asylum Seeking Children (UASC). Our Outreach service delivers community-based care and support packages to children and young people aged 0-18, extending support to families and collaborating with various agencies, including Social Workers and Local Authorities.

In this role, you will embody the values of our organization, taking the lead in developing and updating essential documentation while serving as a role model and support for your colleagues. We seek a compassionate, driven individual who demonstrates patience, kindness, and leadership skills, empowering young people to reach their full potential.

Main Responsibilities:

  • Maintain accurate paper and digital records to comply with all regulatory, statutory, and internal company requirements.
  • Prepare reports and other written materials as needed.
  • Manage files and records efficiently.
  • Take notes and minutes during meetings when required.
  • Foster and maintain relationships with stakeholders, addressing any issues or deficiencies.
  • Ensure compliance with HR, Recruitment, and Training by completing all associated documentation promptly.
  • Handle telephone inquiries and respond to all requests in a friendly and efficient manner.
  • Coordinate supervisions with Deputy Managers and Managers for each service.
  • Process and respond to new inquiries and referrals received by the service.
  • Organize meetings with professionals and manage schedules.
  • Assist in procuring properties to support service growth.
  • Stay informed about changes to policies, procedures, or regulations affecting the service.
  • Support the Service Manager and deputies in promoting the service through attendance at recruitment marketing events.
  • Assist in reporting and managing HR-related absence and coordinating cover for assignments.
  • Facilitate internal communication among staff across services using appropriate platforms.
  • Report any incidents or compliance issues to the Service Manager or higher management.
  • Coordinate team meetings effectively.
  • Manage work bookings and liaise with local authorities as necessary.
  • Support the management team in ensuring high standards of care are provided to service users.
  • Lead the coordination of training and health and safety initiatives.
  • Conduct regular administrative audits for the service.
  • Assist with rota management.
  • Contribute to improving service communications, including training materials and marketing leaflets.
  • Perform any other ad hoc administrative duties, which may include visiting homes and supporting young people.
  • Demonstrate clerical experience from a similar role.
  • Exhibit flexibility, organization, and problem-solving skills.
  • Maintain composure under pressure and work independently.
  • Possess strong written and verbal communication skills with attention to detail.
  • Be proficient in using Dropbox, Excel, Word, Outlook, PowerPoint, and Windows.
  • Deliver excellent customer service, both verbal and written.
  • Manage time effectively and pay attention to detail.
  • Serve as a positive role model for the staff team.
  • Ensure staff are supported and receive high-quality supervision and coaching.
  • Undertake all duties with diligence and pride.
  • Be responsible for the safety and well-being of young people at all times.
  • Assist with supervisions as needed.
  • Ensure timely completion of all assigned tasks.

This role is subject to an enhanced DBS check for child and adult workforce with barred list checks.

This position is exempt from the Rehabilitation of Offenders Act 1974; therefore, applicants must declare any unprotected convictions, cautions, reprimands, and final warnings as defined by the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975.
