Job Overview

The Administrative Support Specialist plays a vital role in delivering comprehensive administrative assistance to various sectors within the Corporate Strategy & Communications Unit at Social Security Scotland. Responsibilities encompass managing procurement processes, overseeing mailbox operations, providing secretarial support for meetings, and facilitating National Stakeholder Engagement events.

The successful candidate will cultivate strong partnerships with senior leadership and essential colleagues throughout Social Security Scotland, ensuring efficient business operations, consistent messaging, and optimal resource utilization.

Key Responsibilities

  • Oversee and manage emails directed to the Briefing & Parliamentary Team, Strategic Communications & Marketing Team, National Stakeholder Engagement Team, Strategic Relationship Management Team, and the Administrative Coordination Hub.
  • Assist in the allocation and monitoring of Parliamentary Questions, ensuring accurate documentation within the MiCase system.
  • Provide secretarial support during various working groups, high-level meetings, and forums within Social Security Scotland.
  • Deliver administrative assistance before, during, and after stakeholder events.
  • Utilize the procurement system to generate purchase orders and acquire approved goods and services for teams within the unit.
  • Perform general administrative tasks, including updates to internal and external platforms, processing of emails, management of distribution lists, and maintenance of spreadsheet data.

Candidate Profile

1. Exceptional verbal and written communication abilities.

2. Proven experience in effectively engaging with a diverse clientele.

3. Strong teamwork skills, demonstrating a positive attitude towards assisting others while being capable of executing individual tasks with minimal oversight.

4. Proficient administrative skills, including familiarity with IT systems such as Microsoft Office Suite – Word, Excel, and Outlook.
