Position Overview

This is a dynamic role within a healthcare facility dedicated to serving a large patient base. The position entails working 25-30 hours per week, Monday to Friday during afternoon hours, with occasional Saturday shifts as part of a rotation. Compensation is negotiable based on experience. Previous experience in a healthcare environment is preferred, with a strong emphasis on leadership skills and the ability to effectively manage and prioritize daily tasks.

Key Responsibilities

Team Management

- Supervise a team of 14 reception personnel while delivering exceptional service to patients.

- Organize and oversee clinical and reception schedules.

- Perform various administrative tasks as required.

Detailed Responsibilities

Scheduling

- Organize clinical schedules and manage leave requests.

- Update the appointment system to reflect any changes in duty or leave.

- Establish and maintain a computerized appointment system for all services.

- Arrange for locum coverage as necessary.

- Complete staff schedules, including weekend shifts.

- Collaborate with management regarding staffing and workflow organization.

- Attend necessary meetings with partners.

Patient Services

  • Participate in the reception schedule, including weekend duties.
  • Oversee the appointment management system for the practice.
  • Administer patient prescriptions, both manually and electronically.
  • Schedule appointments for patients with doctors, nurses, and other clinical staff.
  • Handle telephone inquiries from patients and the public.

Staff Management

- Facilitate staff onboarding, training, performance evaluations, and ongoing assessments.

- Monitor staff attendance and manage leave requests.

- Ensure adherence to practice policies and maintain administrative records.

- Collaborate with other members of the healthcare team, including external partners.

- Ensure compliance with fire safety and alarm protocols.

- Confirm that staff are adequately trained, supervised, and informed of practice protocols.

Administrative Duties

- Manage the administration and upkeep of petty cash.

- Process patient cash payments for services rendered.

Communication and Information Management

- Ensure effective communication systems are in place, keeping both doctors and reception staff informed of procedural changes.

- Assist in the creation and maintenance of practice procedure documents.

- Manage documentation systems, including incoming and outgoing correspondence.

- Maintain a working knowledge of all relevant software and hardware.

Candidate Profile

Required Qualifications

  • Proven experience in a leadership role.

Preferred Qualifications

  • GCSE qualifications in English and Mathematics.
  • Previous experience in a healthcare setting or medical practice.
  • Background in customer service or reception roles.
