Reception Operations Manager

Position Overview

An exciting opportunity has emerged for a Reception Operations Manager role. This position entails working approximately 23 hours per week, scheduled according to the reception rota.

Additionally, there will be a requirement to participate in a rota for Saturday shifts. These hours will be compensated at an enhanced access rate. Flexibility is essential, as you may need to cover for annual leave, sickness, or training at short notice.

The ideal candidate will possess proven experience in supervising or leading a GP reception team, demonstrating effective communication skills and the ability to work independently as well as collaboratively within the reception team.

This role is subject to a Disclosure Barring Service check.

Main Responsibilities

Reception Management:

  • Oversee the reception area and manage the reception team.
  • Coordinate clinical and staff rotas to ensure seamless service delivery.
  • Provide administrative support to the Practice Manager and Project Officer.

Patient Services:

  • Participate in the reception rota, including weekend duties.
  • Supervise the appointment system for the practice.
  • Compile Friends and Family survey results.
  • Administer patient prescriptions both manually and electronically.
  • Manage appointment scheduling for patients with doctors, nurses, and other clinical staff.
  • Handle telephone inquiries from patients and the general public.
  • Promote online access for patients and conduct NHS App sessions.
  • Manage patient registration and deduction processes.

Ensure the telephony recording system is functioning correctly and address any issues that arise.

Direct patients appropriately to Out of Hours services when the surgery is closed.

Staff Management:

  • Assist with recruitment processes for reception staff.
  • Conduct staff induction, training, and performance reviews.
  • Support the complaints process and monitor staff attendance.
  • Ensure adherence to practice policies and maintain administrative records.
  • Liaise with other healthcare team members and external teams.

Health and Safety:

  • Maintain a clutter-free reception area and manage deliveries.
  • Participate in weekly fire alarm checks and report any issues.
  • Ensure all equipment is operational and report any malfunctions.

Administrative Duties:

  • Resolve minor patient complaints and assist management with investigations.
  • Attend Patient Participation Group meetings as required.
  • Manage paperwork systems, including post and internal communications.

Qualifications

Essential:

  • GCSE grade A to C in English and Maths or equivalent.

Desirable:

  • Business Administration / Supervisory Level 3 or equivalent.

Experience

Essential:

  • Previous experience in supervising and leading a GP reception team.

Desirable:

  • Demonstrable experience in leading a GP reception team.
