Healthcare Operations Supervisor

Job Overview:

The Healthcare Operations Supervisor will be instrumental in ensuring the practice maintains high standards of patient care. The ideal candidate will possess a strong background in healthcare operations or senior administrative roles.

Main Responsibilities

  • Oversee the Admin and Reception Team
  • Assist in the Recruitment & Selection processes to ensure compliance
  • Manage Employee Relations
  • Facilitate Staff Training
  • Provide General HR Support
  • Act as the Information Technology & Digital Lead
  • Ensure Compliance with relevant regulations
  • Support Facilities Management

Key Responsibilities

Team Management

  • Oversee daily operations of the Admin and Reception Team, ensuring objectives are met
  • Manage the daily workload of the Admin and Reception Team
  • Conduct performance reviews for administrative and reception staff

Recruitment & Selection Support

  • Advertise available roles within the practice
  • Coordinate interviews and prepare necessary documentation
  • Prepare offer letters and ensure completion of DBS checks
  • Facilitate staff induction processes

Absence Monitoring

  • Authorize staff leave and manage TOIL activities
  • Compile data on staff overtime and absence for the Business Manager

Employee Relations

  • Mentor staff to maximize their potential and foster a high-performance environment
  • Champion staff wellbeing initiatives

Staff Training

  • Ensure mandatory training is completed within required timelines
  • Maintain training records and update the training matrix as necessary

General HR Activities

  • Assist Partners and the Business Manager with HR initiatives
  • Provide statistical data for recruitment and staff planning
  • Maintain registers for clinician validation and professional registration

Information Technology & Digital Leadership

  • Serve as the Digital Champion for the practice
  • Manage key aspects of the EMIS Web clinical system
  • Lead IT initiatives in collaboration with the Business Manager

Compliance Support

  • Collaborate with the Business Manager and GP Partners on GP Contracts
  • Review Practice Policies and Procedures as needed
  • Assist with CQC and other compliance requirements

General Duties

  • Coordinate practice meetings
  • Lead Administration Team meetings
  • Support PPG meetings and various practice projects

Person Specification

Qualifications

  • Strong educational background
  • GCSE Grade A to C in English and Maths

Experience

  • Previous experience in General Practice or NHS settings
  • Proven supervisory experience
  • Excellent communication and interpersonal skills
  • Ability to thrive in a fast-paced environment
  • Strong organizational skills and attention to detail
  • Familiarity with GP IT Systems (EMIS Web)

Desirable

  • Experience in Operations, Facilities Management, or Senior Administration within General Practice
